Position Purpose :
To provide full support to the Group Executive (EIMS) and coordinate all the activities for the Group Executive and team.
Maintain strong relationships with team members and stakeholders.

Position outputs :
Diary Management. The incumbent will maintain the Group Executive’s diary, schedule meetings and resolve conflicts.
Appropriately respond to meeting requests and ensure Group executive’s time is efficiently utilized.
Stakeholder Communication. Deal with incoming emails, mail and voicemail and appropriately communicate the Group
Executive’s responses.
Telephone Management. Screen incoming phone calls professionally and appropriately
Financial Administration. Monthly reconciliation of financial claims, credit card expenses and reimbursements.
Document management and filing. Maintain efficient office systems and procedures to store documents electronically and
paper filing.

Presentations and documents. Produce documents, reports, presentation and minutes of meetings to the highest
standards.
Travel management. Arrange travel for the Group Executive and other members of the teams to ensure cost-effective travel
to seminars, meetings and conferences.
Facilities Management: oversee facilities for ICT teams and liaise with properties and facilities teams across Transnet
Project Coordination: Coordinate select projects on behalf of Group Executive: EIMS.
Office Administration: Serve as overall office administrator for all the ICT teams, ensuring efficient administration
General Support: provide overall personal support and logistics as may be required by Group Executive: EIMS, ensuring
timely delivery of services and quality interactions with stakeholders
Event Management: Coordinate any events hosted by the Group Executive: EIMS and manage the delivery from multiple
service providers and partners.
Internal Communication: Prepare and distribute regular internal communications and team briefings on behalf of Group
Executive: EIMS and maintain several distribution lists and membership.
Reception: Provide reception services for the offices, receiving visitors and presenting a professional first contact with the
ICT offices.

Qualifications & Experience :
A 3year degree/ diploma
Experience supporting a busy executive in a sizeable organization
Strong professional verbal and written communication skills
Strong typing skills and attention to detail to ensure minutes, presentations and documents are professional and highest
quality
Good stakeholder relationship skills to influence and solve problems
Advanced Microsoft Office skills
Confidentiality and discretion required of a role with access to highest level of information
Excellent typing skills with speed
Short-hand would be an advantage
Competencies :
