Project Administration Internship at CSIR

Management Services – the services division of the CSIR – has a vacancy for a Project Secretariat Internship. The incumbent will be responsible for assisting in providing secretarial and administration support to the project managers, project teams and steering committees.
The CSIR (Council for Scientific and Industrial Research) is a leading scientific and technology research organisation, implementing projects throughout Africa and making a difference in people’s lives.
Key responsibilities:
Assist in arranging logistics for the meetings and workshops (venues, refreshments, etc.).
Assist in producing various documents accurately, timeously and in accordance with the specific needs for which the documents are required, and formatting minutes and other documents from rough drafts using diagrams, flowcharts, graphs, etc. Ensure that the documents are error free in terms of grammar, spelling and formatting.
Perform data capturing independently for cross functional and multiple teams.
Ensure effective electronic and manual filing of documents.
Assist in arranging workshops and stakeholder meetings, including corresponding with project managers, providing meeting details, booking meeting rooms, arranging refreshments, etc.
Assist in preparing and circulating project documents such as agendas, minutes, reports and information for meetings (steering committee meetings, project status meetings, workshops, etc.).
Assist in drafting agendas for meetings and/or taking minutes in line with the specific meeting purpose and objective.
Assist in keeping record of all contracts, subcontracts, routing forms, etc. (use DMS where applicable).
Assist with general office support and other ad-hoc functions.
Qualifications, skills and experience:
At least a certificare or diploma in project administration.
Understanding of MS Project, power-point, word and excel will be an added advantage
Project administration and secretarial skills.
General office management.
Ability to meet deadlines.
Interpersonal skills.
