Job description

Kinetic Events has an opening for a reliable team player to handle the office administrative duties.

Kinetic Events is a young, exciting and dynamic conference and exhibitions company based in Cape Town, specialising in the IT and Telecoms sectors. We are looking for an enthusiastic and bubbly personality to join our team.

Working hours are 08:30 – 17:00 Monday to Friday.

Responsibilities

1. Receptionist services

  • Greet clients/suppliers/visitors in a professional and friendly manner
  • Answer the phone in a professional and courteous manner
  • Direct phone inquires to the appropriate team member
  • Reply to general information requests with the accurate information

2. Office administration

  • Make travel, meeting and other arrangements for staff
  • Coordinate the maintenance of office equipment
  • Scheduling meetings and taking meeting minutes
  • Creating spreadsheets and presentations
  • Update and ensure the accuracy of the organisation’s databases
  • Internet research
  • Filing
  • Organisation of stationary, groceries, electricity and general office requirements

3. Assist with financial management

  • Customer invoicing
  • Debtor chasing

4. Personal assistant to the company directors
5. Assist with event coordination and production

  • Assist the team when necessary during events
  • Create media briefing sheets and packing instructions for all media jobs
  • Liaise with suppliers for quote requests and research new suppliers
  • Negotiation with suppliers

Requirements

  • Confident with a go-getter personality
  • Bookkeeping; or tertiary certificate; or diploma a plus
  • Must have knowledge on legal and financial requirements for companies
  • Must have good knowledge and experience with using Microsoft Office products
  • Previous admin experience is a plus but not essential
  • Pastel Accounting Software experience is a plus
