Job description

A fast paced film client seeks a dynamic receptionist to manage and coordinate their reception area. The ideal candidate will be based at the reception desk, manage all visitors and switchboard. Please note the unusual hours that will be required during the seasonal (mainly summer) months.

The position will report to the office manager and the key responsibilities will include:

  • To ensure the phones are covered, in season, between 10.00 and 19.00 (during the winter months, this will change to 08.30 and 17.30 or as deemed necessary by the company).
  • To take all phone messages accurately and ensure they are forwarded to the relevant staff members.
  • To check all voice messages on the switchboard and ensure they are responded to timesouly by the relevant person.
  • To effectively manage all visitors according to the required standard.
  • To update the in-house telephone list, as new people join the company.
  • To assist with the ordering and managing of various office supplies and.
  • To ensure the boardroom is in good condition and ready to welcome clients at all times.
  • To check the post in the box near security on a daily basis.
  • To prepare production files for incoming teams.
  • To assist with creation of client gift bags when necessary.

Requirements

  • Matric certificate.
  • Excellent Microsoft Office skills, particularly Word, Excel and Outlook.
  • Previous reception experience essential.

Advantageous

  • Drivers licence and own car would be advantageous.

  • Well equipped to cope with pressure.
