Job Description The secretary provides an efficient and effective administrative and secretarial support service to the Finance Shared Services department and the Divisional Chief Financial Officer The position will be based at their offices in Cape Town.
Minimum Requirements * Grade 12.
* At least 2 years’ previous secretarial/ administration experience.
* High level of proficiency in relevant software packages and applications (MS)
* Familiarity with financial accounting processes and procedures;
* Knowledge of administrative processes;
* Relevant Secretarial Diploma or Certificate.

Duties & Responsibilities • Provide administrative support to the specified business unit.
• Manage the reception area. Answering the telephone and take messages as required in a professional manner.
• Handle general queries and forward to relevant /designated individuals.
• Take minutes at specified meetings for the business unit.
• Maintain the electronic and hard copy filing systems, ensuring all documents are filed appropriately and timeously.
• Make travel bookings and co-ordinate travel arrangements as required for the management team, in line with company procedures.
• Arrange functions, conferences and co-ordinate various meetings.
• Maintain the boardroom diary and ensure that appropriate venues are booked; also arrange the necessary equipment and training materials.
• Plan and monitor daily schedule for drivers and ensure all arrangements are met.
• Administration of all company cell phone and data contracts with various service providers.
• Manage the office petty cash as well as monthly reconciliation thereof.
• Maintaining and filing monthly reporting information as requested by the GM.
• Consolidate various finance reports and documentation as required by the GM.
• Typing and translating documentation as per Audit requirements.
• Preparing bank letters and obtaining signatory approvals as requested by the Bank and Treasury Finance Manager.
• Maintaining Operating Lease Schedules and ensuring printers rentals and copy charges are settled in due time.
• Order and control of office equipment, stationery and consumables.
• Create purchase orders as required; and ensure goods receipted/ confirmation posted in due time for month end.
• Manage office facilities and computer equipment through regular and appropriate interaction with IT and Property management.
• Deliver support service to internal stakeholders; assisting from time to time and function as back up on procurement.
• Co-ordinate, plan and manage any office moves; and assist with new employees set up and exit processes.
• Ad-hoc duties across the Finance Shared Services Business Unit.
