Tag 8 is looking for an administrative assistant to ensure the efficient day-to-day operation of
the office, and to support the work of the Tag 8 team.

You will perform a wide range of duties including some or all of the following:

Core responsibilities

1. Receptionist services

• Greet clients/suppliers/visitors in a professional and friendly manner
• Answer the phone in a professional and courteous manner
• Direct phone inquires to the appropriate team member
• Reply to general information requests with the accurate information

2. Office administration

• Make travel, meeting and other arrangements for staff
• Coordinate the maintenance of office equipment
• Scheduling meetings and taking meeting minutes
• Creating spreadsheets and presentations
• Update and ensure the accuracy of the organisation’s databases
• Internet research
• Filing
• Organization of stationary, groceries, electricity and general office requirements

 3. Assist with financial management

• Petty cash management and recon
• Credit card recon
• Cash flow recon
• Invoicing recon
• Account statements and outstanding account management
• Issuing of cost estimates and invoices

4. Assist with production management

• Liaise and organise with couriers deliveries and collections
• Create media briefing sheets and packing instructions for all media jobs
• Liaise with suppliers for quote requests and research new suppliers
• Negotiation with suppliers
• Call stores to check up on campaigns and implementation
• Liaise with on the ground activators
• Coordination of campaigns
• Basic client liaison
• Filing of production quotes correctly
• Create job sheets for all new media jobs in the system

Requirements

Skills/requirements

• At least one to three years experience in an office environment
• Able to work methodically, accurately and neatly
• Punctual, self-motivated and pro-active
• Strong communication skills
• Professional, courteous and friendly manner
• Software skills –Word, Excel, PowerPoint.
• Internet research abilities
