HR Administrator Job

Location: Johannesburg, Gauteng

The Maths Centre has been supporting Maths, Science and Technology education in South Africa since 1985, through both educator and learner development programmes. It currently runs more than 50 projects across 9 provinces and receives funding from a number of international and local corporations.

Maths Centre seeks to appoint a Human Resource (HR) Administrator, based in Braamfontein, Johannesburg.
The HR Administrator will coordinate all HR functions within the organisation and report to the National Executive Director.
This is a one-year fixed term contract.

 

Responsibilities:

• Personnel files: Every single personnel file to be in order;

 

Skills Analysis:

• Compile Workplace Skills Plan;
• Compiles and submits Training report to the ETDPSETA;
• Compiles and submits Employment Equity plan;
• Policies and Procedures
• Be alert and aware about violations or loopholes such that corruption occurs;
• Point these out to the SMT and the Executive Director;
• Understand the HR policy in detail;
• Ensure that Managers support their staff to understand benefits.
• Manage and oversee the entire technicalities and the mechanical aspects of the Recruitment and selection process, appointments
• Provide support to managers in the recruitment of staff using the R&S process, utilising best practice techniques, seeks approval for filling of vacancy, advertises or appoints agency, screens candidates;
• Organise final interviews, reference check and other validations such as insurance, car license, work permits, residence, criminal check etc.;
• Managers interview, make the appointment decision and conduct induction guided by SJS;
• The administrator drafts letter of appointment and contract;
• Receive, check and file induction reports;
• Sift and filter carefully before involving ED and the SMT;
• Part-time trainers must have contracts;
• Database to be built of all trainers who have left and all part time trainers for the past three years.
• Training committee
• Support the SMT to collate the data collected on skills analysis;
• The SMT will prioritise training;
• Put together a functional training committee and organise the basic training committee functions;
• This committee, as a whole, should reflect the interests of employees from all occupational categories in the organisation’s workforce.
• Every level of the organisation to be represented.
• Statutory Compliance and governance Labour Relations
• Issue and maintain all employee contracts, letters of appointment;
• Support the SMT and your line manager to respond to resignation letters, warning letters, CCMA communications etc.;
• Ensure that all statutory compliances are adhered to LRA etc.;
• Ensure that employment contracts are extended and or terminated within prescribed timeframes;
• Ensure compliance with Health and Safety requirements through employees training;
• Maths Centre has LRA compliant disciplinary and grievance procedures in place. Ensure that all employees are informed and have access to the disciplinary and grievance procedure. Your job is to ensure that the procedures are followed by managers. You will do this under direct supervision of the National Executive Director;
• If a case is too severe, SMT and your line manager will guide.
• Welfare (Employee Assistance Programme)
• Develop and to ensure that the employee assistant programme (EAP) is accessible to all employees;
• Do whatever is necessary and appropriate for Birthdays, Weddings, Funerals, Hospitalisations, Babies etc.
• Fire Drills, Fire Extinguishers, First Aid Kit, First aid training for all Admin Assistants.
• Buildings
• Watch over the state of the building and inform SMT if any repairs need to be done;

 

Requirements:

• Highly developed self-managed and disciplined efficiency, responsibility, and initiative sense and skills within the following group of characteristics and of overall excellent health;
• Excellent maturity level;
• Have an excellent controlled system of organising own day;
• Show initiative. Participate in discussions and dialogue. Silence and cold hard looks can be interpreted very negatively at a work place;
• Thoroughness, accuracy and reliability in all tasks:
• Know the difference between ‘urgent’ and ‘important’;
• Ability to find information and organise it in a sensible manner;
• Have a ‘nothing is too much trouble’ attitude;
• Feel that ‘Completing the task in hand’ is more important rather than ‘run out of time’ ;

• Highly sensitive; never gossip; have an amicable temperament;

• Clearly designed Time framed tasks;
• No wastage of work time and funds exploring personal interests on the internet pretending they are serving the organisation;
• Sending un-necessary and personal e-mails to others;
• Values others’ time and meet deadlines;
• Give occasional extra time willingly if needed;
• Useful: Studying towards a degree in Human Resource Management;
• Minimum of one years’ experience in a similar role.
