Vacancy : Receptionist

Primary Responsibilities:

 Include, but is not limited to:

Reception:

  • Frontline reception
  • Book visitors parking
  • Receive visitors
  • Offer visitors drinks
  • Answer the switchboard
  • Redirect calls
  • Screen manager’s calls
  • Monitor boardroom bookings
  • Receive deliveries and contact addressee to sign-off or receive deliveries
  • Liaise with courier services for deliveries and collections
  • Manage courier service documentation
  • Manage staff parking list
  • Ensure that the reception area is neat and tidy
  • Order or buy flowers for the reception desk
  • Ensure that the floor and entrance door is clean
  • Ensure that the reception desk is tidy
  • Co-ordinate messenger deliveries and collections
  • Support security policy with regards to visitors signing in when entering and exiting  the building and notifying the facilities manager of any irregularities
  • Ensure biometrics is done correctly and done for new staff

Office Support:

  • Coordinating all staff events
  • Asset tagging
  • Monthly stock take
  • Ordering of all groceries and equipment needed for the office monthly
  • Order and distribute stationary to staff
  • Procurement:              (accounts or COD)
    • call for quotes
    • place orders on Order Tracker
    • manage orders
    • liaise with suppliers
    • receive invoices
  • Payments:
    • get invoices signed-off by management
    • scan and send authorized invoices to finance department for payment
    • receive goods and ensure that services are delivered
  • Petty Cash:
    • Manage petty cash
    • Balance petty cash before month end and send to Finance department for reimbursementFacilities:
  • Direct and co-ordinate maintenance activities
  • Meet with service contractors and vendors regarding the negotiation of contracts
  • Coordinating emergency procedures with Management
  • Co-ordinate all aspects of Health and Fire Safety in accordance with OHASA
  • Optimize the utilization of office space
  • Responsible for co-ordination of events
  • Project manage all building developments
  • Responsible for issuing of office access
  • Assist with implementation of disaster management processes and procedures
  • Assist with the procurement function
  • Ensure security of building
  • Be available for emergency call outs as required

Recruitment & Selection:

  • Set up and seat all interview candidates for assessments and pitches

Knowledge, Skills & Experience

  • 12-24 months experience in a similar role
  • Proven ability to deliver the desired business goals
  • Proven ability to work in a dynamic and fast paced environment
